B2B Customer Portal

Your customer checks orders, downloads invoices and raises incidents without calling your team. We develop the private area that connects your operations with the digital experience B2B buyers already expect.

The B2B buyer of 2025 arrives accustomed to consumer e-commerce: they want to check their order status at 10 PM, download an invoice without waiting for the accounts team, and open a support ticket in two clicks. When your company does not offer that access, follow-up calls and emails consume hours of your team's time and project the image of a poorly digitalised organisation. A B2B customer portal eliminates that bottleneck by putting the information you already hold in your ERP directly in the buyer's hands, in an ordered and secure way.

Summum Sistemas designs and develops bespoke B2B portals connected to your existing management system — Odoo, Dynamics 365, Sage, Holded or another — through APIs or specific connectors. The portal reflects in real time the status of orders, the purchase history, electronic invoicing documents (compliant with applicable regulations), delivery notes and the commercial terms agreed with each account. Each customer sees only their own data: segmentation by role and company is the first requirement of any serious portal.

The key is not the technology itself, but understanding the real flow between your team and the buyer in order to reduce friction on both sides. Since 2007 we have been implementing management software for SMEs and mid-market companies in Castilla y León and the Canary Islands, and that process knowledge — not just code — is what differentiates a useful portal from a handsome showcase that nobody uses. Our Consultancy division complements the project when process redesign goes beyond the technological development.

The B2B Customer Portal process.

The process · four stages
01

Diagnosis and value mapping

We analyse which queries your team receives most frequently, what data already lives in your ERP and what your customer expects to find. We define the portal scope and the necessary integrations before writing a single line of code.

02

Functional design and prototype

We build a navigable prototype with the key screens: private login, order dashboard, line detail, document download and incident management. We validate it with you and, where possible, with a pilot customer before development begins.

03

Development and ERP integration

We develop the portal and connect it to your management system via REST API or native connector. We implement secure authentication, per-company and per-user access control, and real-time or batch data synchronisation as required.

04

Training, launch and support

We train your internal team on portal administration, accompany the first go-live with real customers and establish an ongoing technical support service to ensure availability and system evolution.

What is included

What B2B Customer Portal includes.

The operational detail: what we deliver as part of the work and what we keep alive afterwards.

  • Private area with per-account access

Each buying company logs in with its own credentials and sees only its orders, invoices and terms. Internal user management handled by the customer themselves.

  • Real-time order tracking

Order status synchronised with the ERP: confirmed, in preparation, dispatched, delivered. Line-level traceability and estimated delivery date.

  • Document download

Electronic invoices, delivery notes, technical data sheets and certificates available as PDF directly from the portal, without requests to the accounts team.

  • Incident management

Incident or complaint submission form with status tracking. Reduces scattered email volume and consolidates all after-sales communication in one place.

  • Catalogue and new B2B order

Optional module for customers to repeat or place new orders directly from the portal, with tariffs and discounts applied according to their contract.

  • ERP/CRM integration

We connect the portal to Odoo, Dynamics 365, Sage, Holded or another existing system. Data flows in both directions without duplicating administrative work.

Frequently asked questions about B2B Customer Portal.

Does the portal connect to my current ERP or do I need to switch systems?

The portal connects to the ERP you already use — no need to change it. We work with Odoo, Dynamics 365, Sage, Holded and other systems via APIs or bespoke connectors. The goal is to surface the information you already manage, not duplicate it in another system.

How long does it take to develop a B2B customer portal?

A portal with the core features — order tracking, document download and incident management — is typically live within two to four months of project kick-off, depending on ERP integration complexity and the number of modules. Projects that include a catalogue and online ordering require additional time.

How is security managed and who can see what?

Each buying company accesses the portal with its own credentials and sees only its own data. Segmentation is enforced at database level, not just in the interface. We add two-factor authentication if the customer requires it, and we comply with GDPR requirements for the processing of access and activity data.

Can we start with a basic module and grow from there?

Yes. The usual approach is to launch with the order-tracking and invoice-download module — the one with the greatest immediate impact — and then add the incident module, the catalogue or online ordering afterwards. The architecture is designed from the outset so that extensions do not require rebuilding what is already in place.

Does the portal support electronic invoicing compliance?

The portal can make the electronic invoices generated by your billing system available to the customer in the appropriate format. If you have not yet implemented electronic invoicing in line with applicable regulations, our dedicated electronic invoicing service covers that prerequisite step.
