Business Process Automation with Power Platform

We connect your applications, ERP and workflows so that repetitive tasks run on their own. For SMEs that want to scale without hiring more hands.

TechnologyMicrosoft Power Platform · RPA · Power Automate
Ideal profileSME 10–250 employees with Office 365 or an active ERP
Typical timeline4–10 weeks depending on process scope

A 30-person SME can spend thousands of hours a year copying data between the ERP and an Excel spreadsheet, sending confirmation emails manually, or filling in forms that already exist in another system. This is not a problem of company size — it is a wiring problem. Power Automate, Microsoft's automation tool integrated into the Power Platform, connects more than 1,000 applications — from Dynamics 365 or Odoo to Sage, WooCommerce, SAP or legacy systems — without the need for custom development.

Robotic Process Automation (RPA) goes one step further: it acts on the graphical interface of applications that have no API, mimicking the clicks and keystrokes of a human operator. This makes it possible to automate even legacy or proprietary software without touching its source code. In 2025, Gartner positioned Microsoft as a leader in the Magic Quadrant for RPA, confirming the maturity and backing of the ecosystem. In 2026, the integration of Copilot autonomous agents with Power Automate flows adds adaptive decision-making capability: the agent does not just execute fixed steps, but reasons over variable conditions and acts accordingly.

Working with Summum Sistemas is not about buying licences: it is about designing the process with clear criteria before automating it. We map the current workflow, identify bottlenecks, propose the data model and build the automation in verifiable phases. When the process touches electronic invoicing or ERP integration, we coordinate with our Verifactu and factura-e service so that regulatory compliance is resolved from the ground up. We have been implementing technology solutions for SMEs in Castilla y León and the Canary Islands since 2007, with offices in Valladolid, Burgos, Palencia, Aranda de Duero and Las Palmas.

The Business Process Automation with Power Platform process.

The process · four stages
01

Process diagnosis

We map the current workflow with its actors, systems and volumes. We quantify the cost in manual hours and the most frequent errors. The output is an opportunity report that prioritises what to automate first by impact and feasibility.

02

Design and architecture

We define the flow model (cloud flow, desktop flow or combined), the required connectors and exception handling. If the process requires human approvals, we design the escalation logic and intervention thresholds.

03

Build and testing

We develop the flows in Power Automate, configure triggers and validate against real data in a test environment. We run edge-case test suites: duplicate records, malformed files, external service outages.

04

Go-live and training

We deploy to production with active monitoring during the first weeks. We train the responsible team so they can adjust parameters, review execution logs and escalate incidents without depending on us for day-to-day operations.

What is included

What Business Process Automation with Power Platform includes.

The operational detail: what we deliver as part of the work and what we keep alive afterwards.

  • Invoice automation

Supplier invoice reading from PDF with AI Builder, validation against the purchase order and automatic posting to the ERP. Reduces manual data entry and reconciliation errors.

  • Approval workflows

Multi-level validation circuits with reminders, delegations and audit trail. From expense approval to supplier onboarding or contract signing.

  • ERP–eCommerce integration

Automatic synchronisation of orders, stock and customers between the online store (WooCommerce, PrestaShop) and the ERP (Odoo, Sage, Dynamics). No duplicates, no manual exports.

  • RPA for systems without an API

Desktop flows that operate on the graphical interfaces of proprietary or legacy applications: sector-specific ERPs, government portals, banking systems. No changes to the original software.

  • Smart notifications and alerts

Automatic alerts via email, Teams or SMS when critical thresholds are reached: low stock, overdue invoices, delivery deadlines at risk or quality incidents.

  • Operational dashboards

Connection of automated flows with Power BI to visualise process performance, processed volumes and detected errors in real time.

Frequently asked questions about Business Process Automation with Power Platform.

Do we need Office 365 to use Power Automate?

Power Automate is included in some Microsoft 365 plans, but flows with premium connectors (SAP, Salesforce, custom databases) require additional Power Automate licences. Before the project starts, we audit which licences you already have and which ones are needed, so there are no financial surprises.

What is the difference between a cloud flow and a desktop flow (RPA)?

A cloud flow connects API-enabled services through cloud-based triggers and actions: it receives an email, extracts data and writes it to a spreadsheet. A desktop flow, or RPA, controls the mouse and keyboard of a computer to operate desktop applications that have no API. In real projects they are often combined: the cloud flow orchestrates the process and calls the desktop flow only when a legacy system is involved.

How long does it take to get an automation up and running?

It depends on complexity. An expense approval flow with Teams notifications can be live within two or three weeks. An invoice automation involving AI Builder, an ERP and data validation typically requires between six and ten weeks. The initial diagnosis gives you a realistic estimate before you commit.

What happens when a process fails or changes?

Power Automate logs every run with its status and error message, making it straightforward to detect and fix incidents. We train your team to review these logs and adjust basic parameters without needing external support. For structural changes or new integrations, you can engage us on a time-and-materials basis or with a monthly support contract.

Is process automation compatible with the mandatory electronic invoicing requirement in Spain?

Yes, and this is precisely one of the scenarios where it delivers the most value. The Ley Crea y Crece requires structured electronic invoices to be issued. Power Automate flows can generate, sign and send those invoices automatically from the ERP, in compliance with Verifactu requirements. For projects combining automation and tax compliance, we coordinate both services from day one.
