Quipu was founded in Barcelona as invoicing software designed for business owners and their accountants to work on the same data in real time — no exports, no email attachments, no double entry. Since its integration into the TeamSystem ecosystem (September 2025), the platform benefits from the technological backing of Italy's largest business-management software group for SMEs, with an active presence in Spain through nine acquisitions since 2021.

What sets Quipu apart from other invoicing tools is its shared pre-accounting layer: the freelancer or company's administrative contact records income and expenses, and the accounting firm reviews and validates them from its own login, reducing month-end closing time and transcription errors. This is especially valuable for practices that manage portfolios of small clients with high document throughput.

At Summum Sistemas, Official TeamSystem Partner, we implement, migrate and support Quipu from our offices in Valladolid, Burgos, Palencia, Aranda de Duero and Las Palmas. We handle the initial configuration of invoice series, tax rates, role-based access and the connection with the accountant, so that the client is productive from day one with no learning curve. We also guide the adaptation to the Verifactu regulation (Royal Decree 1007/2023) through the manufacturer's declaration of conformity, which is the legally established mechanism — there is no 'AEAT approval' nor any list of certified software maintained by the Spanish Tax Agency.

The Quipu process.

Analysis and initial setup

We review the current invoicing workflow, invoice series, applicable VAT rates and the relationship with the accounting firm. We configure Quipu with the company's tax details, differentiated access (company and practice) and document templates.

Historical data migration

If the client is coming from another tool (Holded, Anfix, Sage, spreadsheets or another SaaS), we import the client, supplier and product master data so they don't start from scratch. We verify that opening balances match before activating the production environment.

Training and go-live

A hands-on session with the end user covering invoice issuance, expense recording, payment management and accountant access. The goal is for the team to operate independently from the very first billing cycle.

Ongoing support and Verifactu compliance

We maintain a support contract to resolve incidents, update configurations following regulatory changes and coordinate with the TeamSystem team when the mandatory Verifactu updates are released for legal entities (1 January 2027) and freelancers (1 July 2027).

  • Full tax configuration

    Invoice series, VAT rates, equivalence surcharge, IRPF withholdings and cash-accounting scheme, adapted to the client's tax profile.

  • Company-accountant connection

    We enable the accounting practice's access to the client's pre-accounting data, eliminating the need to export files or use external file-sharing platforms.

  • Migration from other platforms

    Import of clients, suppliers, items and historical invoices from SaaS tools or Excel/CSV files, with balance reconciliation before go-live.

  • Verifactu compliance

    Coordination with TeamSystem to apply the updates required by Royal Decree 1007/2023. Conformity is evidenced by the manufacturer's declaration of conformity, not by AEAT certification.

  • User training

    Practical sessions for the administrative team and the accounting firm: issuance flows, payment management, expense recording and report exploitation.

  • Support and maintenance

    Direct assistance in Spanish from our offices for usage incidents, configuration changes and coordination with TeamSystem technical support when an incident is escalated to the manufacturer.

Frequently asked questions about Quipu.

Does Quipu comply with Verifactu?

TeamSystem is adapting Quipu to the Verifactu regulation (Royal Decree 1007/2023). Conformity is evidenced by the manufacturer's declaration of conformity, which is the legally established mechanism under the Royal Decree. There is no 'approval' or 'certification' by the AEAT: the Spanish Tax Agency does not maintain any list of certified software. The mandatory deadlines are 1 January 2027 for legal entities and 1 July 2027 for freelancers. At Summum Sistemas we coordinate with the manufacturer to ensure the update reaches all our clients on time.

What is the difference between Quipu and Billin?

Both are cloud invoicing tools within the TeamSystem ecosystem, but they have different focuses. Billin targets freelancers and micro-businesses looking for a very lightweight solution to issue invoices and manage payments. Quipu adds the pre-accounting layer connected to the accountant, making it more suitable when an external practice needs direct access to the client's data to close the books. If the business is simple and there is no external accountant involved, Billin may be sufficient; if that collaboration exists, Quipu delivers more value.

Can I migrate from Holded, Anfix or another SaaS?

Yes. At Summum Sistemas we handle migrations from other online invoicing platforms. The standard process includes exporting the client, supplier and item master data from the previous tool, importing it into Quipu and reconciling opening balances to ensure the data is correct before go-live. Historical invoices can be imported depending on the export format supported by the source platform.

Does the accounting firm need to pay an additional licence to access my company's data?

Quipu's multi-user access model allows the accounting firm to log in with its own credentials at no additional cost to the client under plans that include this feature. In any case, specific licensing terms depend on the plan contracted directly with TeamSystem; at Summum Sistemas we guide you to the most suitable option based on your invoice volume and number of users.

Is Quipu suitable for companies subject to SII?

The SII (Immediate Supply of Information) is mandatory for companies with annual turnover above six million euros and is mutually exclusive with Verifactu: companies under SII will not be required to comply with Verifactu. For SII management within the TeamSystem ecosystem, Contasol is the most appropriate tool, as it has a native SII module. If your company is subject to SII, we recommend evaluating Contasol instead of Quipu.
