If you are a freelancer or run a micro-business and still rely on Excel or an invoicing program you installed years ago, you will very likely face an obligation in the coming months that changes the rules of the game: Verifactu. The regulation requires that software used to issue invoices generates verifiable records and submits them — or makes them available — to the Spanish Tax Agency (AEAT) in real time. For freelancers, the entry-into-force date is 1 July 2027. That is not tomorrow, but it is not so far away either if you need to migrate data, train your team and test the new workflow.
Billin is one of the solutions that best addresses this scenario for self-employed workers and small companies. It is part of the TeamSystem ecosystem — Italy's largest business-management software group for SMEs — which acquired Billin in February 2021 and integrated it into its Spanish portfolio alongside DELSOL (Factusol, Contasol, Nominasol), Aplifisa, Distrito K and other brands. At Summum Sistemas, Official TeamSystem Partner, we have been implementing and supporting business-management software solutions since 2007. In this article we explain what Billin does, who it is the right choice for and how it fits into the new regulatory framework.
What is Billin and who is it designed for?
Billin is a lightweight online invoicing platform built from the ground up for users who are not accountants and do not have an administration department behind them. Its value proposition is simplicity: create an invoice in under a minute, send it by email directly from the application, track which invoices have been paid and which are outstanding, and get a quick summary of monthly income.
The ideal Billin user profile includes:
- Freelancers in any sector (design, consulting, construction, personal services) who invoice end clients or businesses.
- Micro-businesses (1–5 people) without an in-house accountant that need an orderly record of their sales.
- Freelancers who work with clients in Spain and abroad and need to issue invoices in different currencies.
- Businesses that already use an external accountant for bookkeeping and only need an invoice-issuance tool, leaving journal entries to the accounting firm.
What Billin is not: it is not a full accounting program. It does not replace Contasol or professional accounting software. It has no payroll module or warehouse management. If you need those features, the path is DELSOL 360 (the integrated TeamSystem suite), solutions such as Factusol for stock control, or Aplifisa for professional practices.
Main features of Billin
Fast and personalised invoicing
Billin's invoice-creation screen is designed so that any user, without accounting training, can issue a correct invoice first time. The system automatically applies the appropriate VAT rate for the type of product or service, calculates the personal income tax (IRPF) withholding where applicable — something critical for freelancers invoicing companies — and generates the document as a PDF with the business logo.
It also allows you to create recurring invoices, very useful for services with a fixed monthly fee (maintenance contracts, subscriptions, commercial leases), and to manage quotes and delivery notes that convert to invoices with a single click.
Payment tracking and client management
One of the most common problems for freelancers is not issuing the invoice but knowing whether it has been paid. Billin solves this with a status panel that shows in real time which invoices are paid, pending or overdue. Automatic payment reminders can be sent to late-paying clients directly from the platform, saving time and awkward conversations.
Access from any device
Billin is a 100% cloud application (SaaS). No installation is required; it runs in a web browser and has a mobile app for iOS and Android. This means you can issue an invoice from your phone right after finishing a job, without waiting to get back to your computer. For a freelancer constantly on the move (installers, sales reps, technicians), this is especially relevant.
Integration with your accountant
Billin lets you export invoicing data in formats compatible with the accounting programs your accountant uses. The typical workflow is: you issue invoices in Billin, your accountant downloads the data and integrates it into their accounting system (Contasol, Aplifisa or others) to prepare the quarterly tax returns. The division of tasks is clean: you manage the commercial side, the accountant manages the fiscal side.
Billin and Verifactu: what you need to know before 2027
The Verifactu obligation is regulated by Royal Decree 1007/2023, which implements Law 11/2021 on measures to prevent and combat tax fraud. This is not an AEAT «approval» or «certification» of the software: the mechanism is the manufacturer's declaration of conformity, which must guarantee that the program generates invoicing records with chained hashing, an audit event log and the ability to submit data automatically to the AEAT.
Billin is adapted to Verifactu. The TeamSystem/DELSOL team has prepared the product to meet the technical requirements of RD 1007/2023. This is key because if you are still using a non-compliant invoicing program in July 2027 you will be in breach of the regulation and exposed to penalties.
Key dates to bear in mind:
| Group | Verifactu obligation date | Recommended action |
|---|---|---|
| Legal entities (companies) | 1 January 2027 | Migrate or update software before October 2026 |
| Freelancers (natural persons) | 1 July 2027 | Migrate or update before April 2027 |
| Large companies with SII | Not applicable (SII and Verifactu are mutually exclusive) | Keep SII up to date |
If you already use Billin, the adaptation to Verifactu is transparent: the manufacturer updates the software and you do not need to do anything special, other than making sure your version is up to date. If you are on an old program with no clear roadmap towards Verifactu, the time to consider switching is now, not six months before the deadline.
Billin plans and indicative pricing
Billin offers different subscription tiers adapted to a freelancer's invoicing volume. As an indicative reference from the manufacturer, entry-level plans start from approximately EUR 6.60 per month (indicative prices subject to change; always check the current rate at sdelsol.com or billin.net). The cost scales with the number of monthly invoices, additional users and advanced features (bank integration, advanced document customisation, etc.).
For a freelancer with moderate invoicing activity (up to 30–50 invoices per month), Billin's monthly cost is less than a business lunch. Compared with the risk of using software not adapted to Verifactu or of continuing to manage invoicing in spreadsheets, the cost-to-legal-certainty ratio is very favourable.
If you need to evaluate whether Billin is the right solution for your specific situation, or whether your activity volume justifies a more complete suite such as the Billin implementation service we offer at Summum Sistemas, we can help you decide with no commitment.
Billin versus other invoicing options for freelancers
The invoicing software market for freelancers is crowded with options. Here is a direct comparison with the alternatives our clients ask about most often:
| Software | Ideal profile | Verifactu | Accounting included | Indicative price |
|---|---|---|---|---|
| Billin | Freelancer / micro-business | Yes (adapted) | No (invoicing only) | From ~EUR 6.60/month |
| Factusol | SME with stock / sales | Yes (adapted) | No (requires Contasol) | From ~EUR 19.50/month (cloud) |
| DELSOL 360 | SME wanting a complete suite | Yes | Yes (integrated) | Consult depending on modules |
| Holded | Start-up / tech-friendly SME | Yes (available) | Yes | From ~EUR 14.50/month |
| Anfix | Freelancer with connected accountant | Yes (5 tax offices) | Partial | From ~EUR 4.99/month |
Billin's advantage over Holded or similar tools is not in the number of features (Holded has more), but in the simplicity of use and the technical backing of the TeamSystem ecosystem. For a freelancer who does not want to learn an ERP, Billin is sufficient and straightforward. For those who need more, the same product family offers a natural upgrade path to Factusol, Contasol or DELSOL 360, without changing provider or support team.
How to migrate to Billin from your current program
Migrating to Billin from another invoicing solution is usually straightforward, especially if the volume of historical invoices is not very large. The typical steps are:
- Export data from the current system: clients, products/services and the invoice history in CSV or Excel format.
- Import the client database into Billin. The platform supports bulk import from a file.
- Configure your tax details: name, tax ID (NIF), address, logo, standard VAT rates, applicable IRPF withholding.
- Verify a test invoice before going live.
- Grant access to your accountant if you want them to download invoicing data directly.
At Summum Sistemas we support this process from the initial assessment through to go-live and user training. If you have questions about which data to migrate, whether the previous history needs to be in Billin or only in the local archive, or how to coordinate the switch with your accounting firm, our team answers those questions before you start, not after. You can find full details of our Billin implementation and support service on the Summum Sistemas website.
Frequently asked questions
Can Billin be used to invoice clients abroad?
Yes. Billin allows you to create invoices in other currencies and apply the VAT exemption that applies to exports or intra-community service provision. If your clients are outside Spain, you can set the invoice in euros or another currency and the system correctly reflects the taxable base without VAT, as required by regulations for international transactions.
Do I need to do anything special to comply with Verifactu if I already use Billin?
If you have an active Billin subscription, the adaptation to Verifactu is handled by the manufacturer through a system update. You do not need to install anything or migrate to another tool. What you should make sure of is that your plan includes the Verifactu functionality when the obligation date arrives (1 July 2027 for freelancers). If you have questions about your current plan, it is advisable to check with Billin support or your implementation partner. Remember that there is no AEAT «approval»: compliance is guaranteed by the manufacturer's declaration of conformity under RD 1007/2023.
What is the difference between Billin and Factusol?
Billin is focused on pure invoicing: issuing invoices, tracking payments and sharing documents with clients and accountants. Factusol, on the other hand, includes warehouse management, stock control, supplier orders, per-client price lists and an integrated point of sale. If your activity involves selling physical products or keeping an inventory, Factusol is more suitable. If you only provide services and need an agile tool to issue invoices, Billin is sufficient and easier to use.
Can I use Billin if my accountant already uses Contasol or Aplifisa?
Yes, and in fact it is a common combination. You issue invoices in Billin and your accountant downloads the data to integrate into Contasol or Aplifisa and prepare the tax returns (VAT form 303, income tax forms 130 or 131, annual income tax return). The division of tasks is clear: you manage the commercial and collections process, the accountant manages the tax and accounting process. Both systems are part of the TeamSystem ecosystem, which facilitates data compatibility.
